Equipment Rental Terms and Conditions
Tarf Media offers professional media production equipment for hire, including cameras, lenses, drones, lighting, sound gear, and accessories through our online Equipment Rental Portal. All rentals are subject to availability and must be booked in advance.
All clients must create a Tarf Media account to access, reserve, or hire equipment.
By creating the account and using the rental service, you agree to these Terms and Conditions and confirm that all information provided is accurate and complete.
1. Account Requirement: All equipment rental clients must register for a Tarf Media Account before hiring equipment.
2. Identity Verification: Clients must fill in the requested information and upload a valid copy of their National ID or Passport during registration for verification purposes. For corporate clients, a company authorization letter may be required.
3. Account Responsibility: Clients are responsible for maintaining the confidentiality of their account credentials and all activity under their account.
4. Approval: Tarf Media reserves the right to approve or decline any account registration or equipment hire request at its discretion.
1. Clients may browse available equipment, select items, and submit a booking request via the portal.
2. Tarf Media will issue an official invoice once the booking is confirmed.
3. A 50% deposit is required to secure a booking; the balance must be paid before the equipment is collected or dispatched unless otherwise agreed between the two parties.
4. All prices are quoted per day unless stated otherwise.
1. Equipment will only be released once verification is confirmed and payment is completed.
2. Clients must inspect and confirm the condition of equipment at collection.
3. The hirer must communicate in advance if the equipment will be collected by their agent or staff.
4. The equipment must be used responsibly and only for lawful, professional purposes.
5. Clients agree to handle the equipment with care and follow the provided operating instructions.
6. Any misuse, unauthorized modifications, or illegal use will result in immediate termination of the rental agreement and potential legal action.
1. The client assumes full responsibility for any loss, damage, or theft of the rented equipment during the rental period.
2. Clients are responsible for the full replacement or repair cost of any lost, stolen, or damaged equipment during the rental period. Repair or replacement costs will be charged based on the current market value.
3. In the event of loss of equipment, the hirer will be charged 75% of the prevailing daily rate until the equipment is replaced or returned to Tarf Media.
4. Equipment should not be opened, repaired, or altered by anyone other than Tarf Media personnel.
1. All equipment must be returned on or before the agreed date and time.
2. Late returns attract additional charges per hour or per day, depending on the delay.
3. Equipment must be returned in the same condition it was issued.
When hiring Tarf Media’s crew along with equipment, the crew operates under Tarf Media’s management. Clients should not assign additional tasks outside the agreed project scope without prior written consent.
Tarf Media is not liable for any injuries, losses, or damages arising from the use or misuse of rented equipment. Clients assume full responsibility once the equipment leaves our premises.
1. Cancellations made within 24 hours of the scheduled rental date may incur up to 50% of the rental fee.
2. Failure to collect equipment after booking confirmation results in forfeiture of the booking fee.
3. Refunds, if applicable, will be processed within 5 business days.
1. All rented equipment remains the sole property of Tarf Media.
2. Clients are not permitted to sublet, sell, transfer, or pledge the equipment to third parties.
3. Tarf Media shall not be liable for injuries, losses, or damages resulting from the use or misuse of the rented equipment.
1. Tarf Media may suspend or terminate a client’s account in cases of fraud, policy violation, or misuse of services.
2. System access may be temporarily unavailable during maintenance or upgrades.
File Storage and Backup Policy
Tarf Media maintains secure local backups of completed client projects for a period of two (2) years from the date of delivery. This backup is intended to provide clients with an extra layer of security in case files are lost, corrupted, or accidentally deleted on their end.
After the two-year period, all backup files are automatically and permanently deleted from our systems without prior notice. Clients are encouraged to download and safely store their final files upon delivery.
For convenience, Tarf Media may share completed projects via online links (e.g., Google Drive, Google Photos, WeTransfer, or other file-sharing platforms).
All shared links will remain active and accessible for three (3) months from the date of delivery, after which they will automatically expire.
Clients are responsible for downloading and storing their files within the provided timeframe. Tarf Media will not be liable for expired or deleted online links after the stated period.
All client files are securely stored and handled in accordance with Kenya’s Data Protection Act (2019). Access to backup files is restricted to authorized Tarf Media personnel only.
We do not share, sell, or distribute client files to any third party without written consent.
Clients may request retrieval of backup files during the two-year retention period. Retrieval may take up to three (3) working days and may attract a small administrative fee depending on file size and storage requirements.
While Tarf Media employs industry-standard data protection and backup measures, we do not guarantee the indefinite preservation of files. We shall not be held responsible for data loss resulting from hardware failure, system corruption, natural disasters, or other circumstances beyond our control.
